Adding and editing target groups
If you want Invitario to automatically assign guests to different categories, you will first have to set up corresponding target groups.
These target groups can be defined based on a number of different characteristics that guests will be asked to specify during the registration process.
To create a new target group, do the following:

Click on the “Add target groups” button under > Categories > Target groups
.
- Enter a name for the target group. This name will only be used for administration purposes.
- You can enter the reason for the target group in the “Description” field to make it easier to distinguish in the list view.

To configure the target group, select one of the following options from the “Create filter” drop-down menu:
- Master data: shows all of the master data fields available in the system for you to select from.
- Custom fields – account: shows all of the individually created master data fields.
- Custom fields – event: shows all of the individually created event-specific fields.
- Event: shows all of the event parameters.
- Session: shows all of the sessions.
- Tag: shows all of the tags.
- Target group: shows all of the target groups.
- Order: shows all of the parameters for ticket orders.
- Check-in: shows all of the parameters for the check-in configurations.
- Next, select the required field or parameter from the drop-down menu on the right that you want the system to use when querying the database.
- Now, select the operator
- by selecting or entering the relevant value or criterion.
- Next, click on “Add”, after which the corresponding formula will be entered into the “Filter definition” field for use by the system when performing a database query.

Click on “Save & Back”. The number of guests identified after applying this filter will now be shown in the list view in the “Guests” column.
Example: You need to know which of your guests will use what mode of transport to travel to the event. In that case, you would select the “How will you get to the event?” field, for which we created and added an custom field under > Form.
You would then configure your target group as follows:
- Select “Custom fields – event” under “Create filter”
- Field: “How will you get to the event?”
- Operator: “By”
- Value: “Car”
- Add
- Confirm by clicking “Save”
Target groups with two or more filter criteria
You can also create target groups that are defined by two or more criteria. When doing so, you can specify whether guests have to meet just one or both of these criterions or multiple criteria in order to be added to this target group.
Example A: “One of two criteria have to apply”
You need to know which of your guests have specified that they are vegetarian or vegan when they registered for the event. In that case, you would select the “Special dietary requirements” field, for which we created and added individual “Vegetarian” and “Vegan” options under > Form.
You would then configure your target group as follows:
- Select “Custom fields – event” under “Create filter”
- Field: “Special dietary requirements”
- Operator: “Is”
- Value: “Vegetarian”
- Add
- The system will then enter this formula into the “Filter definition” field
- Next, repeat the process:
- Select “Custom fields – event” under “Create filter”
- Field: “Special dietary requirements”
- Operator: “Is”
- Value: “Vegan”
- Add
The system will now enter “AND” into the “Filter definition” field at the end of the first line after the previous formula, and the new formula into the second line.
Next, change “AND” to “OR”.
Confirm by clicking “Save”
Example B: “Two of two criteria have to apply”
You need to know which of your guests have specified that they are “Vegetarian” and have selected “Yes” under hotel when they registered for the event. In that case, you would select the “Special dietary requirements” and “Hotel” field, for which we created and added custom fields under > Form.
You would then configure your target group as follows:
- Select “Custom fields – event” under “Create filter”
- Field: “Special dietary requirements”
- Operator: “Is”
- Value: “Vegetarian”
- Add
- The system will then enter this formula into the “Filter definition” field
- Next, repeat the process:
- Select “Custom fields – event” under “Create filter”
- Field: “Hotel”
- Operator: “Is”
- Value: “Yes”
- Add
- The system will now enter “AND” into the “Filter definition” field at the end of the first line after the previous formula, and the new formula into the second line.
- Confirm by clicking “Save”
You can use this process with any number of lines, which means that you could define more than just two criteria.
