Create a session calendar to display program items of an event

Session calendars are a special type of content block available to you when creating dynamic content, in addition to text blocks.

Creating a Session Calendar to Display Event Agenda

  1. First, go to > Sessions and create your sessions (e.g., workshops, agenda items, etc.). Assign session categories as needed.
  2. To create a session calendar as dynamic content, go to > Dynamic Content and click the "Add Content" icon .
  3. In the selection field under the standard text field, choose "Session Calendar" and delete the standard text block if necessary with the remove icon .
Configure the Session Calendar

  1. In the "Entries" selection field, choose the option "All Event Sessions".
  2. In the "Segments" field, select a segment if the calendar should only be displayed to a specific guest segment. For example, if not all sessions are accessible to every guest.
  3. If necessary, enter one or more session categories in the "Category" field to limit the display to sessions of these categories.
  4. Choose between the display formats "Table" or "Tiles". Only the "Table" display format is supported when embedding in mailings.
  5. Select the value for the "Title" of the session in the calendar. For workshops or agenda items, "Name" is recommended. 
  6. To group sessions, choose the desired grouping in the "Grouping" field, such as "Grouped by start time" if there are multiple workshops in parallel, or "By category" for different topic areas.
  7. Select the data to be displayed in the calendar under "Displayed Data". Only data that is actually set up in the respective session will be displayed. For workshops, start time and end time are recommended.
  8. In the "Options" section, define whether a header image, Google Map, or the number of available registration spots should be displayed for each session. Deactivate the checkbox "Link to homepage or registration (session)" if guests can only register for the event itself or for multiple workshops. The session registration will then occur in the registration form.
  9. In the "Included Entries" section, define whether the calendar should also display past, fully booked, inactive sessions, or sessions with expired registration deadlines. This is rarely used for this type of calendar.
  10. Provide filters for a large number of sessions, so guests can, for example, only see workshops on specific topics (categories). The filter restriction is rarely used for this type of calendar.
  11. Repeat the process if you want to create different session calendars based on segments.
When creating sessions, the system automatically creates a "Session Calendar" dynamic content block. You can use this to configure your calendar.
The "Session Calendar" content type is also available in > Website to configure session calendars directly in the content area of a > Website. The advantage of using dynamic content is its flexible and multiple embedding in different places.
