Import sessions into your event

In the "Sessions" menu, you can bulk upload sessions.

Preparations for the Import

Only CSV files are supported for importing sessions into Invitario. Tips for creating import files can be found here.

To convert a file to CSV format, select one of the CSV formats under "Save As" in your open file and save the file to your computer.

Importing the Sessions

To start the import process, click on the "Add Session" icon under the "Sessions" menu in the event and select the "Session Import" option.



Step 1: "Upload"
Drag the import file onto the gray bar "+ Import File (CSV Format)" or click on this bar to select the file.
After a successful upload, you will automatically proceed to the next step.

Step 2: "Format"
In the preview, the first five rows of your import file will be displayed. You can check here if the columns and special characters have been correctly recognized. Then click the "Next" button.

Troubleshooting:

  1. If the import data values are not correctly displayed in columns, change the settings in the "Field Separator" or "Text Separator" selection fields.
  2. If special characters (ä, ö, ü, ß, ...) are not displayed correctly, change the values in the "Character Set" selection field until the preview shows the correct values.
Warning
Only click the “Next” button if the preview is displayed correctly; otherwise, the import will not proceed.


Step 3: "Preview"
The expected result based on the settings you made will be displayed after triggering the import process.
  1. Errors: Number of erroneous records in the import file (e.g., incorrect date format, session name is empty, etc.). *
  2. Sessions to Add: Number of new sessions to be added.
  3. Sessions to Update: Number of existing sessions in your event that will be updated.
Start the import by clicking the "Start Import" button.

* Erroneous records are not considered during the import. It is recommended to correct erroneous records before completing the import and restart the import process. To do this, simply click on the "Sessions" menu item again. You will then return to the list of sessions for your event and can restart the import.

Alert
You can name the Session Custom Fields according to your requirements. These names will then be used as column names in both the export and the provided sample file. More on the topic of session custom fields can be read here.
