Part 2: Adding and editing a check-in configuration

The functions available in the "Invitario Check-in Tool" are defined in the so-called "Check-in Configuration".

In Part 1: "Receive Participants at the Event with Invitario" you can read all about the basic functionality of the Invitario Check-in. In this part, you will learn how to create or edit a check-in configuration.

Add or edit

  1. To create a check-in configuration, click on the “ Check-in Configuration” icon, or duplicate an existing check-in configuration using > Quick Menu. 
  2. To edit an existing check-in configuration, click on the name or “Edit” in the > Quick Menu.



General Settings
  1. The "Name" of the check-in configuration is displayed in the login data as well as in the Invitario check-in tool.
  2. Record of:
    1. Check-ins: The guest's check-in status is changed to "arrived". The check-in status is changed to "arrived" for each guest across configurations. 
    2. Interactions: The interaction time is recorded for each guest. Only one interaction can be recorded per guest and check-in configuration.
    3. Session Check-In: To record the check-in or an interaction for a specific session, select it in this selection.
  3. Segment for the guest list: Define a specific guest segment to be displayed in the check-in tool. If no selection is made, the entire guest list will be displayed.
  4. PDF for printing through the app: Select a personalized PDF created in the > PDF menu to be available as a print file in the check-in tool (e.g., name badge).


App Settings
  1. Minimum search input length: Number of characters that must be entered in the search bar in the check-in tool to start a search.
  2. Max. devices (simultaneously): Number of devices that can be logged in with this check-in configuration at the same time. Leave the field blank to not limit the number.
  3. Show all guests: To display only searched guests after entering in the search bar, deactivate the checkbox. If no search is started, no guest list will be displayed.
  4. Load only registrations: Only invited guests will be displayed.
  5. Color scheme: Choose different color schemes to differentiate the various configurations in the check-in hardware.
  6. Mark as favorite: Select a segment to be pre-selected as a favorite in the check-in tool.
  7. Push notifications: Users of a configuration with the "Push Notification" checkbox active will receive a message on their smartphone when a guest marked as a favorite checks in.
  8. Session duration: After this time, all active connections (iOS app, web check-in) will be automatically logged out. This helps to prevent unauthorized access to your guest data.
  9. "Disconnect active connections": You can manually trigger the above step here.
Note: Unsynchronized data with the server will be lost. Make sure all devices are connected to the internet before they are no longer in use.


App Permissions
  1. Edit guests: Defines whether editing guest data in the check-in tool is allowed. Editing guest data is only possible in the web version.
  2. Add guests: Defines whether adding new guests in the check-in tool is allowed.
  3. Add companions: Defines whether adding companions to main guests in the check-in tool is allowed.
  4. Status change: To create login data with "read-only" permission, deactivate this checkbox. This configuration could be useful for members of your event team who need to follow the status of already arrived or yet-to-arrive participants in real-time.
  5. Print: Activates the print function in the check-in tool.
  6. Event check-in/event check-out: This function will be relevant in the next iOS check-in app.
  7. Session check-in/session check-out: This function will be relevant in the next iOS check-in app.
  8. Save images: Images captured with the app can be saved for each guest (e.g., business cards of newly added guests).
  9. Link to registration page: Defines whether editing guest data in the check-in tool with a form is allowed. Editing guest data is only possible in the web version. If this checkbox is active, the "Page to registration form" selection field will be displayed above.
