Using Zoom with Invitario



1. Connecting your Zoom account

  1. As Account Admin go to your account > Administration > Integrations > Zoom (View integration) > Connect
  2. You will be forwarded to a login screen from Zoom 
  3. Enter your credentials (if you a already logged in to your account this step will be skipped)
  4. Allow the app to use the shared access permissions > Allow
  5. You will be forwarded to the integration overview of invitario 

2. Creating a Zoom webinar or meeting

  1. Go to your event > create a session > tab 'Digital Session' > dropdown 'Meeting Platform' > select 'Zoom: Meeting' or 'Zoom: Webinar' > Save
  2. After creating a digital session
    1. an automatic reminder mail ( Reminder "SessionName" )
    2. a dynamics content ( Reminder for Session ) and
    3. a system website (not editable) will be created

  1. In Zoom the meeting or webinar will be created automatically
Make sure that you have added a session selection, including the digital session, in your registration form and set it to mandatory. This is necessary  since guests need to register to the digital session itself and not only the event.

3. Register to a virtual event as a guest

As soon as a guest registered to a digital session he will automatically added to Zoom as a participant. He will receive:
  1. a confirmation message in the browser
  2. an automatic confirmation mail from Invitario, including:
    1. a calendar file (.ics) with the session date, time and the link to the meeting or webinar
The automatically created reminder mail including the link to the meeting or webinar can be scheduled to be sent to all registered guests beforehand.
The process described above is the standard process and can be changed according to our needs.

4. Start a Zoom meeting or webinar

The meeting or webinar has to be started from the connected Zoom account. Participants will be shown a countdown on the Invitario system page. As soon as the meeting time is reached, participants can join the meeting by clicking the button.

5. Disconnecting your Zoom account

  1. As Account Admin go to your account > Administration > Integrations > Zoom (View integration) > Disconnect
