Mass updating of guest data

You can expand, update, or delete the data stored in your guest list in one operation

This allows you to easily adjust your already imported guest or contact list. You can perform a mass update for selected guests, the entire guest list of an event, or all contacts in your account.

You always follow the same principle for a mass update:

  1. Download the guest list via the menu ">Guests" and the "Export" button. Pay attention to any filters that may be set, or click the "reset" button before exporting to download the entire guest list without restrictions.
  2. Make the desired changes in the export file, e.g., in Microsoft Excel. Do not change or delete the values in the first column with the header "ID". Invitario creates this unique ID for each contact in your database and performs a mass update based on this identification number.
  3. Save a CSV file to perform the mass update, which is triggered by re-importing.
  4. Start the import of the file via the menu ">Guests" and the "Add Guest" button and select the "Guest Import" option.
  5. Follow one of the descriptions below depending on the application.
Examples of use:
  1. Update values of existing guests in a data field (e.g., "Target Group").
  2. Expand guest data with an additional value in a new data field.
  3. Delete selected values or guests.
Tip: If your mass update is limited to a few data fields, you can remove all unaffected columns from the import file. However, be sure to leave column A (ID) unchanged. This number is used by Invitario to identify the contacts affected by the update.


Edit Field Values

  1. Export the guest or contact list.
  2. Edit the values in the desired columns in the exported list.
  3. Re-import the list via the menu ">Guests" and the "Add Guest" button and select the "Guest Import" option.
  4. In step 4 "Settings" of the import wizard, make the following settings:
    1. Unique field in the contact database: Select "ID" or "Access Code"
    2. How to handle existing contacts? Select "Existing contacts will be updated"
    3. Complete the import.
  5. The affected values will be updated.


Add Field Values

  1. Export the guest or contact list.
  2. Edit the values in the desired columns in the exported list.
  3. Re-import the list via the menu ">Guests" and the "Add Guest" button and select the "Guest Import" option.
  4. In step 4 "Settings" of the import wizard, make the following settings:
    1. Unique field in the contact database: Select "ID" or "Access Code"
    2. How to handle existing contacts? Select "Existing contacts will be updated"
    3. Complete the import.
  5. The new values will be added.
If a field is a new field, i.e., not a standard field of Invitario or already created custom field, note that you must create the desired custom field before importing.

Delete Field Values
  1. Export the guest or contact list.
  2. Delete the values from the desired column in the exported list.
  3. Re-import the list via the menu ">Guests" and the "Add Guest" button and select the "Guest Import" option.
  4. In step 4 "Settings" of the import wizard, make the following settings:
    1. Unique field in the contact database: Select "ID" or "Access Code"
    2. How to handle existing contacts? Select "Existing contacts will be updated"
    3. Adopt empty values in the import file for existing contacts: Select "Yes".
    4. Complete the import.
  5. The deleted values will be removed from the fields.
