Dashboard: Event statistics and management

Through the Dashboard, you can keep an overview of the most important data of the event and access the key functions of Invitario with a single click – making your invitation management efficient and clear.

General:

In most statistic blocks, such as "Contacts" or "Registration Status," clicking on the respective row will display the relevant guests or take you to the detailed view of the guest.
For example, clicking on the "Registered" row in the "Registration Status" block opens the guest list (> Guests) with the preset filter "registered" and displays all guests with the registration status "registered". Other blocks, such as "Contacts," "Check-in Status," or "Sessions," operate on the same principle.

If an export symbol is displayed to the right of the number, an export of the underlying guest data can be triggered. For example, clicking on the export symbol in the "Registered" row in the "Registration Status" block will initiate the export of a .csv file of all guests with the registration status "registered".
For events with active "Ticketing," additional data relevant to ticket sales are displayed in addition to the standard functions. More information about the functions for events with active ticketing can be found here.

Event Alerts:

Indicates reaching limits or deadlines. These are initially displayed in orange and turn red according to urgency. Click on the respective row to be redirected to the place that triggered the alert. When an event alert is active, a warning symbol is also displayed in the sidebar next to "Dashboard."

In addition to the alerts, important key figures such as the number of days until the event start date entered in > Settings, the number of registrations and the number of registrations in the last 24 hours are displayed.

Status:

Switch between the following event statuses:
  1. "Setup": Only test guests can access the login-protected event website, only test mails can be sent to test guests, and the "Reset" function is available in > Guests and > Ticketing. This function allows the event to be reset, thus deleting the test data. This is particularly recommended before activating the event to start the live process with a clean guest or order list.
  2. "Active": For closed events, all guests listed in > Guests can now register.
  3. "Archived": After the event is completed, it can be archived. The event will no longer be displayed in the default view of the event list (> Account > Events) but can still be accessed if needed (e.g., to duplicate it).

Quick Actions:

  1. Quick Action Segment: You can perform actions such as registering for the event or triggering an email send for a guest segment. 
  2. Quick Action Guest: You can perform actions such as registering for the event or triggering an email send for a specific guest already listed in > Guests.
  3. Add Guest: To add a new guest to the guest list, click "Create New Guest." You can create a new guest and register them for the event at the same time by clicking "Register New Guest".

Contacts:

These statistics provide an overview of the quality of the contacts in your guest list and identify guests for whom relevant system data is missing.


  1. Total (without companions): Contact records (= "guests") listed on the event guest list (in > "Guests"). Any companion contacts recorded during the registration process are not considered.
  2. With Email Address: Guests with an email address in the "Email" field.
  3. Email Address to be Verified: Guests to whom an email could not be delivered after one or two consecutive attempts (more about mailing status).
  4. With Invalid Email Address: Guests to whom an email could not be delivered after three consecutive attempts. This guest is automatically excluded from future mailings until the email address is changed (more about mailing status).
  5. Duplicate Email Address: Guests with the same email address.
  6. Without Email Address: Guests with no email address entered.
  7. Without Salutation: Guests with no entry in the "Gender" field (Mr./Ms.). Personal salutations in emailings will not work for these guests ( e.g., Dear Mr. Sample), and the fallback salutation ("Dear Sir or Madam") will be used automatically.

Registration Status:

With the registration status, you can keep track of all responses, such as which guests have responded with an acceptance or rejection to the invitation, or whose response is still pending.
  1. Registered: Contact records (= "guests") with the registration status "registered".
    1. Main Guests: "Main guests" (guests invited by you) with the registration status "registered".
    2. Companions: Registered by the main guests.
  2. Unknown: Guests with the registration status "unknown", meaning they are neither registered nor deregistered. These guests, for example, have not yet responded to the invitation.
  3. Deregistered: Guests with the registration status "deregistered".
  4. Guests on the Waiting List: Guests who have registered for the waiting list and have not yet been confirmed or rejected in > Guests (more about "Capturing Waiting List Registrations").      

Latest Responses

Shows the names of the latest registrations in green and deregistrations in red.

Check-in Status

The check-in status tells you which guests attended the event. This block is only displayed once at least one guest has the status "arrived". This requires that guests have been checked in to the event using the Invitario check-in function. More information can be found in the "Check-in" section here..
  1. Arrived: Guests with the check-in status "arrived" (main guests + companions).
  2. Unregistered (Go Shows): Guests with the check-in status "arrived" and at the same time the registration status "unknown" or "deregistered". This includes guests who have not responded to the invitation or have deregistered but were still checked in. It also includes guests who were newly created and checked in during the check-in process.
  3. No Shows: Guests with the check-in status "not arrived" and at the same time the registration status "registered". This includes guests who registered but did not show up.

Check-ins

If multiple check-in configurations have been created and used for the check-in, this block shows the number of check-ins per configuration.

Session Registrations

This block is displayed when at least one session has been created in > Sessions. More information can be found in the "Sessions" section.
Each created session is displayed in its own row with the number of registrations recorded for the session. If a quota has been set for the session, it is displayed next to the number of registrations (quota/registrations).



Voucher

This block is displayed when at least one "Voucher" has been created in > Settings. More information can be found in the "Settings" section here..
Each created voucher is displayed in its own row with the quota and the number of registrations recorded for the voucher (quota/registrations).

Mailing Statistics: 

This block displays all emailings created in > Mailings as well as the mailing statistics (number of recipients, open rate, and click rate), each cumulatively across all sends  (more information about mailing status).
