Dashboard: Event statistics and management

The Dashboard gives you an overview of your event’s key data as well as instant accesses to the most important tools in Invitario for effective and easy invitation management.

General:

Most of the statistic blocks, such as “Contacts” and “Registration status”, will display the relevant guests when clicking on the relevant row or take you the relevant guest’s data page.

If, for example, you click on “Registered” under “Registration status”, you will only be shown those guests on the list (> Guests) whose registration status is “Registered”. All of the other blocks, such as “Contacts”, “Check-in status” and “Sessions”, work on the same principle.

The  export symbol to the right of the number indicates that the relevant underlying guest data is ready for export. If, for example, you were then to click on the    export symbol in the “Registered” row, all of the guests whose status is “Registered” will start to be exported in a CSV file.

The Dashboard for events for which "Ticketing” has been activated will furthermore show a number of data relevant to ticket sales in addition to the standard information. Click here for more information on the options for Events with active ticketing.

Event alerts:

Shows approaching limits & deadlines and those that have been met. These limits will initially be shown in orange, and then in red as their level of urgency increases. Clicking on the relevant row will take you to the data setting that has triggered the alert.  If an event alert is active, Invitario will also show an alert symbol  next to > Dashboard in the menu on the left.
 
In addition to the alert, this block will also show important information such as the number of days until the Event start date entered under > Settings, the number of Registered guests and number of Registrations in the past 24 hours.

Status:

This is where you can select from the following event status:
  1. “Set up”: Access to the password-protected event website will be restricted to test guests only and you will only be able to send test mails to test guests (testers). You will also be able to use “Reset” under > Guests and > Ticketing. You can use “Reset” to reset the event and hence delete all of the test data. This is advisable in particular before making an event active to ensure that you will start the live invitation process with a fresh guest and registration list.
  2. “Active”: When set to active, all of the guests of a closed event listed under > Guests will now be able to register.
  3. “Archived”: Once completed, events can be archived. This means that they will then no longer be shown as usual in the event list (> Account > Events), but can still be called up if needed (e.g. to duplicate them).

Quick actions:

  1. Quick action category: Allows you to perform actions such as “Register” or sending a mailing for a guest category. 
  2. Quick action guest: Allows you to perform actions such as “Register” or sending an email to a specific guest already listed under > Guests.
  3. Add guest: To add a new guest to the guest list, click on “Create guest”. To create a new guest and simultaneously register them for the event, click on “Register new guest”.
Contacts:
These statistics will give you an instant overview of the quality of the contacts in your guest list and of the guest data relevant to the system that is still missing.



  1. Total (without additional guests): Total number of contact datasets (= “Guests”) on the event guest list (under > Guests). This number does not take into account any additional guests for which no information was provided during the registration process.
  2. With email address: Shows the number of guests with an email address in the “Email” field.
  3. Email address to be verified: Shows any guests for which one or two consecutive email delivery attempts have failed (more information on mailing status).
  4. With incorrect email address: Shows any guests for which three consecutive email delivery attempts have failed. These guests will be automatically excluded from any future mailings until their email address has been updated (more information on mailing status).
  5. Duplicate email address: Guests with the same email address.
  6. Without email address: Guests for which no email address has been provided.
  7. Without salutation: Guests for which no “Gender” information (Mr./Ms.) has been provided. As it will not be possible to use a personalised salutation (e.g. “Dear Mr. Smith”) in emails for these guests, they will be automatically addressed using the fallback salutation (“Dear Sir or Madam”).
Registration status:
This box will provide you with an overview of all of the registrations, i.e. of which guests have already responded in the affirmative/negative and have registered/deregistered for the event or have not yet responded (N/A).
  1. Registered: Contact datasets (= “Guests”) with the registration status “Registered”.
    1. Main guests: “Main guests” (invited by you) with the registration status “Registered”.
    2. Additional guests: Registered by main guests.
  2. N/A: Guests with the registration status “Not known” (N/A), i.e. guests who have not been registered or deregistered. This will include guests who have not yet responded to their invitation.
  3. Deregistered: Guests with the registration status “Deregistered”.
  4. Guests on the waiting list: Guests who have registered for the waiting list and who have not yet been confirmed or rejected under > Guests (More information on “Recording waiting list registrations”).     
Recent activities
Shows the names of the last guests to have registered in green and the last guests to have deregistered in red.

Check-in status
The check-in status shows the number of guests who attended the event. This block will only be shown if there is at least one guest with the status “Attended”. It also presupposes that guests have been checked into the event with the Invitario check-in tool. For more information on this, go to “Check-in”.
  1. Attended: Guests with the check-in status “Attended" (main guests + additional guests).
  2. Unregistered (go-shows): Guests with the check-in status “Attended” as well as “N/A” and “Deregistered”. This consequently includes guests who did not respond to the invitation or have deregistered but were still checked in. It also includes any guests that were newly created during check-in and were checked-in.
  3. Not attended (no-shows): Guests with the check-in status “Not attended” and “Registered”. This consequently includes guests who registered but did not attend the event.
Check-ins
If you created several different types of check-ins with different configurations for an event, this block will show you the number of check-ins per configuration.

Session registrations

This block will only be shown if you created at least one session under > Sessions. For more information on this, go to “Sessions”.
Every session you created will be shown in a separate row together with the number of guests who registered for it. If you specified a quota for a session, this will be shown right next to that number (quota/registrations).




Voucher

This block will only be shown if you created at least one “Voucher” under > Sessions. For more information on this, go to “Settings”.
Every voucher you created will be shown in a separate row together with the quota and number of guests who registered with it ( quota/registrations).
 

Mailing statistics

This block shows all of the emails and email statistics (number of recipients, delivery, opening and click rates) set up under > Mailings, cumulated over all mails ( more information on mailing status).
