Create a session calendar to register slots
Session calendars are a special type of content block available when creating dynamic content in addition to text blocks.
Creating a Session Calendar for Slot Registration
- First, go to the > Sessions menu and create your slots (e.g., consultation sessions, factory tours in 15-minute intervals, etc.). Assign session categories as needed.
- To create a session calendar as dynamic content, open > Dynamic Content and click on the "Add Content" icon .
- Now, in the selection field under the standard text field, choose the "Session Calendar" option and delete the standard text block if necessary using the remove icon .
Configuring the Session Calendar
- Select the option "All Sessions of the Event" in the "Entries" field.
- Choose a segment in the "Segments" field if the calendar should only be displayed to a specific guest segment. For example, if not all sessions should be accessible to every guest.
- Enter one or more session categories in the "Category" field to limit the display to slots in those categories, if needed.
- Select between the display types "Table" or "Tiles". The table format is usually recommended due to the large number of slots.
- Select the value for the session "Label" in the calendar. For slots, "Date | Time" is often recommended.
- To group sessions, select the desired grouping in the "Grouping" field, such as "Grouped by start time" if there are multiple parallel slots, or "Grouped by category" for different thematic areas.
- Select the desired data to be displayed in the calendar under "Displayed Data". Only data that is actually set in the respective session will be shown. For slots, it is advisable to include the start and end time.
- Define in "Options" whether a header image, Google Map, or the number of remaining registration spots should be displayed for each appointment shown. Be sure to activate the "Link to homepage or registration (session)" checkbox to enable registration for the selected slot directly from the calendar.
- Specify in "Included Entries" whether the calendar should also display past, fully booked, inactive slots, or slots with expired registration deadlines. For clarity, it is recommended to deactivate all checkboxes here.
- Provide filters for a large number of slots so guests can view slots only for specific start times or thematic areas (categories).
- Enable "Force Filters" to show guests the corresponding slots only after selecting a filter.
- Enable "Show only the first entry immediately" to initially show the guest only the earliest slot based on their chosen filter settings. This helps prevent gaps in slot bookings.
When creating sessions, the system automatically creates a dynamic content "Session Calendar". You can use this to configure your calendar.
The content type "Session Calendar" is also available in > Website to configure session calendars directly in the content area of a > Website. The advantage of using dynamic content is the flexibility and multiple use at different places.
